{"id":27237,"date":"2021-05-11T11:49:12","date_gmt":"2021-05-11T11:49:12","guid":{"rendered":"https:\/\/www.syscreations.ca\/blog\/?p=27237"},"modified":"2021-05-11T11:49:13","modified_gmt":"2021-05-11T11:49:13","slug":"primary-care-vaccination-center","status":"publish","type":"post","link":"https:\/\/www.syscreations.ca\/blog\/primary-care-vaccination-center\/","title":{"rendered":"How to Start Primary Care Vaccination Clinic in Ontario? | A Workflow"},"content":{"rendered":"\n<p>With vaccine supply increasing, the Ontario government is bringing more and more healthcare entities into vaccination programs.&nbsp;<\/p>\n\n\n\n<p><span style=\"color:#7b68ee\" class=\"has-inline-color\">After pharmacies, primary care settings can also now administer the COVID-19 vaccine.\u00a0<\/span><\/p>\n\n\n\n<p>And this is considered as the welcoming decision as Canadians trust their family physicians or primary care providers more.&nbsp;<\/p>\n\n\n\n<p><span style=\"color:#7b68ee\" class=\"has-inline-color\">However, unlike pharmacies that are offering vaccines by pre-booked appointment only, the primary care settings are required to contact the eligible Canadians directly to book an appointment.\u00a0<\/span>\u00a0<\/p>\n\n\n\n<p>So, to help primary care providers who are interested in starting a vaccination clinic or center in Ontario, we are sharing the entire workflow here.&nbsp;<\/p>\n\n\n\n<p>The workflow of the COVID-19 vaccine at primary care clinics\u00a0is shared by AFHTO (Association of Family Health Teams of Ontario).\u00a0<\/p>\n\n\n\n<h1><strong>Starting primary care vaccination clinic or center in Ontario&nbsp;<\/strong><\/h1>\n\n\n\n<p>The entire process has been divided into 2 steps.&nbsp;<\/p>\n\n\n\n<p>The first step is all about preparing your clinic for COVID-19 vaccination and the second step is all about vaccination taking place or vaccination event.&nbsp;<\/p>\n\n\n\n<p>So, let\u2019s start with step 1.&nbsp;<\/p>\n\n\n\n<p><strong><span style=\"color:#dd0055\" class=\"has-inline-color\">Step #1: <u>Preparing your clinic for COVID-19 vaccination<\/u><\/span><\/strong><\/p>\n\n\n\n<p><strong>1. <span style=\"color:#7b68ee\" class=\"has-inline-color\">COVax ON access and training<\/span><\/strong><\/p>\n\n\n\n<p>COVax ON is the vaccine management system that enables the Ministry of Health (MOH), Vaccination Location, and staff to record all data related to vaccines.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" width=\"811\" height=\"428\" src=\"https:\/\/www.syscreations.ca\/blog\/wp-content\/uploads\/2021\/05\/pasted-image-0-2.jpg\" alt=\"\" class=\"wp-image-27242\"\/><\/figure>\n\n\n\n<ul><li>You need to prepare the user roles for your vaccination clinic and submit the user list to MOH for COVax ON access. Users include site staff, vaccine administrator, inventory administrator and site superuser.&nbsp;<\/li><li>Complete the two-factor authentication and log into your COVax ON.<\/li><li>Attend COVax ON training session organized by OntarioMD. (Check it out from <a href=\"https:\/\/www.ontariomd.ca\/pages\/covaxon-training-for-primary-care-practices.aspx\" target=\"_blank\" rel=\"noreferrer noopener\"><span style=\"color:#7b68ee\" class=\"has-inline-color\"><u>here<\/u><\/span><\/a>)<\/li><li>Assign a site superuser from your COVax ON dashboard. The COVax ON system is a role-based system. Meaning, not every user has access to all features &#8211; except for a site superuser.&nbsp;<\/li><\/ul>\n\n\n\n<p><strong>#AdditionalWorkflow&nbsp;<\/strong><\/p>\n\n\n\n<p>A primary care setting receives vaccines from an Authorized Organization (AO) which is in most cases a public health unit.&nbsp;<\/p>\n\n\n\n<p>AO also creates Vaccination Events (VE).&nbsp;<\/p>\n\n\n\n<p>What you have to do is, create a list of clients (people whom you will give the vaccine) and bulk upload the list to the COVax ON system.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img src=\"https:\/\/lh6.googleusercontent.com\/o8qIUJjZ9PD5RvXg5ercvAa2JH5XOYLBgD_0j8KQIrZ1J8RO_TT64wmLUfKUcPP3UKx7m2s7Fg1yS_n3wzOM5761O1Ymys97V2QhqvH1JcWRO-R3L7miv9mFCC0MzgSls42LUQvs\" alt=\"\"\/><\/figure>\n\n\n\n<p><strong>2. <span style=\"color:#7b68ee\" class=\"has-inline-color\">Creating patient lists<\/span>\u00a0<\/strong><\/p>\n\n\n\n<ul><li>You need to find the eligible only patients or Canadians from the EMR you are using.&nbsp;<\/li><li>You can find patients in hotspot communities by postcodes.&nbsp;<\/li><li>Or, you can also find eligible patients based on certain health conditions that fall under the Highest Risk, High Risk, and At-Risk categories.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img src=\"https:\/\/lh4.googleusercontent.com\/Hm_qPggPv0PuRKsPFxnEX13v7Dv0R0pGrki0DSvmtvpe7hpaW9nn29femio7t8VHD5MsFP7C1mBqwg6IFz5nG43ghLQ8-2pR6V4oyj_g-239a4d2WLrDLIIRUSKn94p5HKn-bcN6\" alt=\"\"\/><\/figure>\n\n\n\n<ul><li>You should now cross-check if there is anyone on the patient list who has already been vaccinated. You can easily do this by comparing your patient list with the vaccination report pulled from COVax ON.&nbsp;<\/li><\/ul>\n\n\n\n<p><strong>3. <span style=\"color:#7b68ee\" class=\"has-inline-color\">Contacting the patients<\/span>\u00a0<\/strong><\/p>\n\n\n\n<ul><li>Your team members can call the patients for booking vaccine appointments.&nbsp;<\/li><li>Every booked appointment either through phone or via an online vaccine appointment booking system should be reflected in the EMR.&nbsp;<\/li><\/ul>\n\n\n\n<p><strong>You should read this: <a href=\"https:\/\/www.syscreations.ca\/blog\/vaccine-booking-portal\/\" target=\"_blank\" rel=\"noreferrer noopener\"><span style=\"color:#7b68ee\" class=\"has-inline-color\"><u>How to develop your own vaccine booking portal?<\/u><\/span><\/a><\/strong><\/p>\n\n\n\n<p>4. <strong><span style=\"color:#7b68ee\" class=\"has-inline-color\">Uploading patients data to COVax ON<\/span>\u00a0<\/strong><\/p>\n\n\n\n<ul><li>You should upload the data of patients who have booked the vaccine appointment.&nbsp;<\/li><li>The ideal practice here is to mass upload the data of patients fewer than 100.&nbsp;<\/li><li>If you want to upload data of more than 100 patients, you have to contact the public health unit.&nbsp;<\/li><li>You should also create a standby list of patients in case of any appointment cancellations\/no-shows.&nbsp;<\/li><\/ul>\n\n\n\n<p><strong><span style=\"color:#dd0055\" class=\"has-inline-color\">Step #2: <u>Giving vaccine on the day of a vaccination event<\/u><\/span><\/strong><\/p>\n\n\n\n<p><strong>1. <span style=\"color:#7b68ee\" class=\"has-inline-color\">Obtaining consent\u00a0<\/span><\/strong><\/p>\n\n\n\n<ul><li>You should share the <a href=\"https:\/\/www.health.gov.on.ca\/en\/pro\/programs\/publichealth\/coronavirus\/docs\/vaccine\/COVID-19_vaccine_consent_form.pdf\" target=\"_blank\" rel=\"noreferrer noopener\"><span style=\"color:#7b68ee\" class=\"has-inline-color\"><u>consent form<\/u><\/span><\/a> attached with the appointment booking link with patients.\u00a0<\/li><li>After giving the vaccine, the primary care provider should take verbal consent.\u00a0<\/li><li>You can also laminate the consent form and post it at the check-in area.\u00a0<\/li><li>You can also email a consent form to patients and ask them to fill and bring it at the time of vaccination.\u00a0<\/li><\/ul>\n\n\n\n<p><strong>#BonusLearning&nbsp;<\/strong><\/p>\n\n\n\n<p>Your team is going to have 10-14 team members with different roles and materials.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img src=\"https:\/\/lh3.googleusercontent.com\/BSDpLvgCdczRpj0RZSvgIFWf9mTOJkHLIPYVEVhhql-_gfYQktxSEtfn-xFFsOw6evzN5cVTniuDfM8Nbv_hLucahLtF1hc4MvSCyEJvexvynB8GUuEQBzPAPsRJ8N1O6TdXEOjy\" alt=\"\"\/><\/figure>\n\n\n\n<p><strong>2. <span style=\"color:#7b68ee\" class=\"has-inline-color\">On-site check-in\u00a0<\/span><\/strong><\/p>\n\n\n\n<ul><li>Upon the arrival of patients, you should check the appointment detail and consent form.&nbsp;<\/li><li>After check-in, the sticky note system is used.&nbsp;<\/li><li>If the consent form is invalid, a red sticky note is used to indicate the primary care provider.&nbsp;<\/li><li>Along with the consent form, you should also share the screening form.
